How to Make Your Construction Estimates Accurate

Why the numbers move after you’ve already given the client a price — and the pre-bid habits that stop it.
Ask a builder where his last job went sideways and he rarely says “I bought the wrong tile.” He says the foundation got deeper than expected, or the beam the plans called out didn’t exist, or the truss package came back higher than the allowance he carried. Estimating misses cluster in the structure — because the structure is the part of the house that isn’t finished being designed when the bid goes out.
Here’s what causes that, and how to close it before you hand a client a number you have to live with.
Accurate construction estimates start with a resolved structure
An estimate is arithmetic performed on a set of decisions. If a decision hasn’t been made, you aren’t estimating it — you’re carrying an allowance and hoping.
Stock and semi-custom house plans are the usual culprit. They’re drawn to sell nationally, so they leave the load path deliberately open: “beam by others,” “size per local engineer,” “verify with local code.” Those notes are honest. They’re also line items you can’t price, because nobody has yet decided whether that opening is carried by a doubled LVL or a steel section with a column and footing under each end.
The gap between those two answers is not rounding error. It’s the beam, the column, the enlarged footing, the crane hour, and the framing crew standing around while it gets figured out.
The five line items that move most after the bid
In our experience reviewing plans for builders across seven states, the same handful of items account for most of the drift:
- Beams and headers priced generically. A “structural beam” allowance is not a number. An LVL you can carry in and a W-shape that needs a fabricator and a lift are different jobs.
- Foundations bid off a template. Footing width and depth come from the actual soil bearing and the actual loads landing on them, per IRC R403.1.1. Frost depth is set by your jurisdiction under R403.1.4. Neither is a company standard.
- Truss packages bid before a layout exists. Girder trusses, hip sets, and the hangers they require aren’t visible in a square-foot price. Neither is the fact that truss design drawings are a required submittal under IRC R802.10.2 and are sealed by the truss manufacturer’s engineer, not by you.
- Wall bracing and tall walls. Open rear walls and two-story great rooms often fail prescriptive bracing under IRC R602.10 and need engineered shear walls — more sheathing, more hold-downs, more labor.
- Site-specific loads. Wind, seismic, and snow are set by IRC R301.2 for the actual address. A coastal Wilmington lot and an inland Raleigh lot get different connections at the same roof.
None of these are exotic. They’re just invisible until someone engineers them, which is usually after you’ve quoted.
Bid the code edition your jurisdiction actually enforces
Builders working across state lines get burned by assuming the code is the code. It isn’t, and the differences change quantities.
- North Carolina: 2018 NC Residential Code (2015 IRC base)
- South Carolina: 2021 IRC with state amendments
- Tennessee: 2018 IRC statewide baseline — municipalities may enforce newer
- Georgia: 2024 IRC with 2026 Georgia amendments, effective January 1, 2026
- Kentucky: 2018 KY Residential Code (2015 IRC base), mini/maxi — locals can’t deviate
- Texas: no statewide code; each city adopts its own
- Alabama: 2015 IRC baseline, enforcement varies by county
A plan set engineered for one edition doesn’t automatically satisfy another, and a plan review comment three weeks before your framing start is a schedule problem before it’s a money problem. Confirm the edition for the permitting office you’re actually filing with, not the one next door.
What a complete structural set removes from your estimate
When the structure is engineered before you bid, entire categories of guesswork disappear. A sealed set gives you:
- Every beam, header, and column called out by size, material, and grade — so you take off actual quantities instead of allowances
- Footing sizes and depths tied to the loads above them, so the concrete number is a number
- A framing plan the truss supplier can quote against, which is what makes truss pricing firm instead of indicative
- Connection and hold-down callouts, so hardware shows up on the material list rather than on a change order
- A set that clears plan review the first time, which protects the start date your whole schedule hangs on
That last one is where the money hides. A permit that comes back with structural comments costs you re-drawing, re-submittal, and a crew you’ve already scheduled. Quality engineering saves you money because it converts unknowns into quantities — and quantities are the only thing you can actually bid.
It works the other direction, too: the cheapest structural fee often produces the most expensive building, because the fastest way for an engineer to finish quickly is to specify heavier material. We wrote about exactly that in The $7,000 Engineering Cap That Cost $50,000.
A pre-bid checklist you can run in twenty minutes
Before you price a set, walk it looking for the things that aren’t decided yet:
- Search the sheets for “by others,” “verify,” and “typical.” Every one of those is an unpriced decision. Count them.
- Find the longest span on the plan. If no member is called out over it, you’re carrying an allowance, not a bid.
- Check whether the roof is stick-framed or trussed — and whether the plan matches what you intend to build. Switching between the two changes the bearing lines and the load path, and it invalidates the plan’s framing. - Look for openings wider than about ten feet in exterior walls. Those pull bracing and hold-downs into the conversation.
- Confirm the code edition and the design loads for the specific lot. Wind and snow are address-level facts, not regional habits.
- Ask who is sealing what. Truss design drawings, engineered lumber, and the structural set can come from three different sources. Any gap between them becomes yours by default.
If you find more than two or three open items, you don’t have an estimate yet — you have a range. Get the structure resolved first, then price it.
The bottom line
Estimating accuracy isn’t a spreadsheet problem. It’s a sequencing problem. Builders who price a resolved structure hit their numbers; builders who price around unresolved structure eat the difference, one change order at a time.
